Draw the alternate room with the dinner chairs committed.
Identify where the ceremony or other function moves if the original area is unavailable. Place its chair allocation beside the dinner setup and any concurrent meeting. This makes the overlapping demand visible before the purchasing team settles on a total.
If one room changes function, document where the chairs and tables wait during the reset. Verify the complete sequence and available interval before counting the same set twice. Keep the intended indoor, covered or exposed placement with each chair requirement.

Test the sample against the actual table arrangement.
Use the planned table size and chair positions for the sample review. Check seated comfort, movement at the table and the relationship between upholstery, frame and permanent room finishes. A successful sample should work for the repeated event layouts, not only an isolated photograph.
Ask for the model’s available upholstery, finish and care references. Describe your cleaning routine and any proposed use outside the indoor banquet room. Keep the selected combination in the quote so similar-looking alternatives do not silently become the final order.

Treat chair storage as a measured floor plan.
Subtract tables, lounge furniture and other equipment from the usable store before calculating chair capacity. Request permitted stacking and cart information for the chosen model. Draw the stack positions and handling access rather than dividing the whole room area by one chair footprint.
Measure doors and turns along the loaded service route. Keep furniture for the indoor alternative accessible when needed, including the first cart out. If the venue shares receiving space, identify where incoming chairs can wait for inspection without occupying guest circulation.

Compare quotations against the same chair schedule.
Provide the same working quantity, reserve decision and retained-chair count when requesting a project quotation. Include the location, intended room types, material references and timing. Ask that delivery and assembly arrangements be stated clearly where they affect the total scope.
Use the approved sample and room allocations to inspect the order before first use. Record later changes to finish or model availability rather than assuming a second phase is identical. Keep purchase decisions attached to the actual property address and room plan.

An indoor-alternative inventory example
Dinner needs 120 chairs while an independent indoor ceremony alternative needs 100. The venue chooses 12 reserve chairs and retains 72 matching pieces. The preliminary purchase is 160 chairs. This assumes the alternative and dinner must be ready at the same time.
