Choose a room standard that can be checked.
Photograph the floors, tables and permanent finishes that will remain after the event decorations are removed. Set the proposed chair sample beside them in normal working light. Compare the back shape from the entrance and the upholstery at table height, with the linen and place setting your venue usually uses.
Write the selected model and actual finish references into the room schedule. If several rooms share a chair, test the sample in each setting before declaring it the property standard. A coordinating color description is useful for discussion, but the approved configuration needs a specific frame and upholstery reference.

Give simultaneous functions their own chair count.
Record the chair requirement for the main reception, ceremony room, meeting salon and other booked spaces. Mark which functions operate together. A chair moved between rooms reduces inventory only when there is a workable transfer window and a team assigned to perform the move.
Compare those requirements with the serviceable chairs being retained. Add the reserve you choose for cleaning or repair coverage as its own line. Keep any outdoor requirement separate so an indoor banquet-chair total is not used to imply that the same product suits a terrace or garden event.

Resolve the service route before selecting equipment.
Measure clear door openings, turns, thresholds and any lift used between receiving, storage and the event room. Ask for permitted stack and compatible transport information for the specific chair model. Compare the loaded equipment dimensions with the route rather than considering only the width of a single chair.
Describe changes of level or a restricted receiving arrangement explicitly in the inquiry. If a venue occupies an older building or shares service space with another operation, give the actual conditions instead of assuming the supplier can infer them from the address. Request confirmation of the proposed handling and delivery scope.

Align sample approval with the renovation sequence.
Provide the date the room becomes available for receiving and the date it must be ready for guests. Those dates may be different during a renovation. Leave time to inspect the shipment, compare it with the approved sample and allocate accepted chairs to the intended rooms.
For a phased project, identify what stays in service during each stage and where both old and new furniture will be held. Save the specification and care information for the accepted order. If another phase is purchased later, confirm its available configuration before promising a match across the property.

A reception requires 180 chairs and a separate meeting room needs 36 at the same time. Working demand is 216. The venue chooses a 12-chair service reserve and retains 72 compatible chairs, giving a preliminary purchase of 156. An outdoor event area is not included in this indoor calculation and requires its own suitable furniture brief.
