Decide how many chairs must be available during cleaning or repair; make that reserve an explicit purchasing decision rather than an unexplained percentage.

A metallic frame that looks warm beside a sample board may look different under cool ceiling lights. Bring the shortlisted upholstery, frame sample and linen into the actual room. Compare the chair from the entrance and at table height, with your usual place setting and centerpieces.

For a coordinated property, choose the principal visual feature first: a rounded upholstered back, a classic shield shape or a quieter straight profile. Ask which finish and fabric combinations are available on the specific model. Do not assume two chairs with similar catalog photographs use the same frame, upholstery or stacking method.

Test the turn from salon to service corridor.

Walk the full route from storage to the farthest table with the proposed chair dimensions in hand. Record doorway clear openings, corners, thresholds and any lift. A wide ballroom can still have a narrow back corridor that determines how chairs are transported.

Ask for the model’s permitted stack height, loaded dolly dimensions and handling instructions. Plan a short setup trial with the people who reset the room. Keep a stack count and a route drawing with the quote brief so storage and transport equipment can be assessed together.

Schedule receiving around the event calendar.

Give the inquiry team the property address, room access and target first-use date. Note whether a truck can remain on site, whether the delivery must use a service door, and who can inspect the shipment. A street address alone does not explain a delivery into a working catering hall.

Build an inspection window before the first booked event. Count cartons and chairs, photograph any concerns, and compare the delivered configuration with the approved sample. If you are replacing inventory in phases, state which room opens first and where both old and new chairs will be held.
