Use actual room shapes to establish chair allocations.
Draw the intended table arrangement around columns, wall changes and the real entry positions. Compare alternate table formats in the same room, then identify other rooms that need chairs at the same time. Keep each working allocation visible before combining the purchase total.
Inspect retained chairs and assign them to the rooms where they fit the approved plan. A common finish can connect several event spaces without requiring identical chair allocations. Have final arrangements reviewed through the venue’s normal layout process.

02 / Plan before you order
Check the sample’s full footprint at the table.
Review overall width and depth as well as seat comfort. Place the sample at the actual table and move it as a guest would. Compare the frame and upholstery with the room’s permanent finishes and any retained chair stock intended to remain in use.
Ask for the selected model’s available material and care references. Keep the approved sample combination with the quote and note any room-specific variation. A narrower-looking chair in a photograph should not replace measured dimensions in the plan.

03 / Plan before you order
Verify cart access before deciding on a stack plan.
Measure door openings, service-lift interiors, turns and the route between storage and each room. Request the model’s permitted stacking arrangement and compatible cart dimensions. Check the loaded move, including the space needed to turn or handle a stack.
Draw storage after allowing for tables and other equipment. In a shared building, identify the permitted receiving location and where chairs can wait for inspection. Keep the first needed load accessible rather than packing every available corner with furniture.

Give each delivery a clear destination and release date.
Include the full address, receiving contact, any agreed access period and the rooms receiving the chair allocation. Separate delivery, inspection and first use in the project schedule. Confirm the proposed scope before assuming chairs will be moved through the building or distributed to several floors.
Check the arriving model, finish, upholstery and quantities against the approved references. Record concerns before chairs enter working stock. Keep the schedule and material records for future additions, with current options reconfirmed for each new purchase.
Worked quantity example
Two rooms and a retained-chair allocation
One event room needs 110 chairs and a second room needs 70 at the same time. The venue chooses a 10-chair reserve and retains 50 matching pieces. The preliminary purchase is 140 chairs, with room allocations recorded before the delivery.
