Separate indoor use from a terrace request.
A venue’s indoor and outdoor functions can share a visual direction without sharing the same chair specification. Tell the inquiry team where each chair will be used and stored. Ask whether the selected materials and construction are suitable for that intended environment; do not infer outdoor suitability from a metal frame.
If a ceremony is outside but the dinner is inside, count both functions and decide whether chairs move between them. Include the distance, surface changes and time available. If the indoor chair is unsuitable for that use, keep the outdoor requirement as a separate line in the furniture plan.

Compare upholstery with the cleaning routine.
Start with the products and methods your staff already use. Ask for the upholstery care instructions and verify compatibility before adopting a cleaning process. Compare a sample after a practical cleaning trial, looking at the seams, seat edge and places staff handle during setup.
View light fabrics against your linen and under the ballroom’s working lights. A fabric selection should balance appearance with the way the room is used; a darker color alone does not establish easier maintenance. Record the selected upholstery by its actual reference rather than describing it only as blue, cream or grey.

Make indoor storage a measured part of the order.
Measure the usable storage area after allowing for doors, cleaning access and other event equipment. Ask for approved stack and dolly information for the exact chair. Do not use a catalog image to estimate a safe stack height or assume a storage tower is included in the order.
Identify where chairs wait when a ballroom is divided or an event changes schedule. Keep the service path available and separate furniture storage from exposed exterior areas. Include the actual storage conditions in the request when they affect the material selection.

Receive the order before the first full-room setup.
Share the first-use date and the date the room becomes available for receiving. Those may be different dates during a refurbishment. Allow time to compare the shipment with the approved configuration, count quantities and organize the storage before staff have to dress the room.
For a hotel with several outlets, identify the person who accepts the shipment and the room allocation for each batch. If a separate warehouse receives the furniture, state who handles the onward move. Ask the supplier to confirm the delivery arrangement for the actual address and scope.

Three ballroom sections need 100, 80 and 60 chairs when booked concurrently. That makes 240 working chairs. Add a deliberately chosen 12-chair service reserve for a preliminary inventory target of 252. A separate outdoor ceremony is excluded here and must have its own suitable furniture specification and quantity.
