Measure the loaded move, not only the chair.
Record door openings, turns, lift interiors and changes of level between receiving, storage and the event room. Request the selected model’s compatible cart dimensions and permitted loaded arrangement. An individual chair passing through a doorway does not prove that a loaded cart follows the same route.
If more than one building needs chairs, draw the route and identify surface changes and staging points. Decide where incoming chairs can be inspected before distribution. Include those conditions in the quotation discussion instead of assuming a standard delivery method.

Evaluate the chair in the room’s full furniture setting.
Compare the sample at the intended banquet table with its actual linen or exposed tabletop. Sit in it, move it and view the upholstery beside the room’s permanent timber, stone or other finishes. Ask for available materials for that exact model rather than choosing solely from a general inspiration photograph.
Record overall chair dimensions and the intended table arrangements. Describe the cleaning routine and request care information for the proposed upholstery. Keep the sample approval tied to the room package so later changes to the table or floor finish can trigger a useful review.

Build separate room allocations before combining the order.
List the largest dinner, meeting and other indoor chair setups that can operate together. Give each its own working quantity. Chairs assigned to a different event building are available to share only if the schedule and handling plan actually permit the move.
Choose a service reserve based on the venue’s operating plan and keep it visible as a separate line. Inspect retained chairs before subtracting them from the total. If furniture is intended for an exposed terrace, keep that requirement separate until the specific chair and materials are confirmed suitable.

Plan the first delivery as a controlled room release.
Provide the receiving contact, address, access details and date the property can accept the chairs. Separate arrival from inspection and the first event. For phased work, allocate the incoming pieces by room so a partial shipment does not appear to complete every room at once.
At receiving, check the approved chair model, material references and quantities. Keep any concerns outside the usable working stock until resolved. Save the approved references with the allocation sheet for a later phase or replacement inquiry.
Worked quantity example
A two-building working inventory
An event hall needs 160 chairs and a separate lodge meeting room needs 40 at the same time. The operator chooses a 10-chair reserve and retains 50 matching chairs. The preliminary purchase is 160 chairs, allocated by destination room before delivery.
